How to Invite Users to Your Website

Invite teammates when more than one person needs to edit the website. Give each person only the access they need.

1. Open Users

Log in and open your website.

In the left sidebar, click Users.

2. Invite a user

Click Invite User.

Enter their Name and Email.

Choose a Department if your team uses departments.

Send the invite. You should see User Invited.

3. Choose roles and permissions carefully

The available permission labels depend on your company and website setup. Give the invitee the lowest level that lets them do their job.

  • Administrative access: reserve for people who need to manage website settings, users, domains, publishing, or other sensitive controls.
  • Content editing access: use for writers and editors who need to work on pages, posts, media, or Page Builder content.
  • Publishing permission: grant only when the person is responsible for making reviewed changes live.
  • Feature-specific access: enable only the modules the teammate needs, such as Planner, SEO, Analytics, or website customization.

Permission names can vary, so review the controls shown in the user profile before saving. Do not share one login between teammates; individual accounts keep access and activity easier to audit.

4. How the invite is accepted

The invitation remains Invite Pending until the recipient completes it. They should open the invitation sent to the invited email address, follow the sign-in or account setup steps, and join using that same email.

After acceptance, the person becomes an active website user and can access only the areas allowed by their permissions. If they cannot find the message, ask them to check spam, confirm the email spelling, and request a new invitation if the original link has expired.

5. Check the list

Pending people show Invite Pending until they accept.

Click a user to open their profile.

6. Remove access

When someone should no longer edit the site, open their profile and remove them.

Pro-Tip

Review the user list now and then. Remove old accounts so only current teammates can publish changes.
